Small Business Tools to Simplify & Streamline Your Online Business as a Work from Home Mom

The key to building a successful online business in part-time hours as a busy mom is simplifying what you can in your business. You need systems and automations that will allow your business to continue to work for you even when you aren’t working. Continue reading to learn what small business tools I use to simplify and streamline my business.

Small Business Tools for Client Management

Google Workspace

Google Workspace is a huge part of my small business tools kit. I use Google Workspace for client correspondence via email and Google Drive to house all of my client deliverables. It’s so easy to share documents with clients and provide feedback on content through Google Drive.

Dubsado (Save 20% on your 1st month or year)

Dubsado is my client relationship management tool. Although Dubsado did have some issues with glitches last year, they’ve definitely redeemed themselves since then. I house all of my client contracts and invoices in Dubsado. It is also where all of my client inquiries are tracked, and client onboarding takes place. I have workflows set up in Dubsado to automate many of these processes without me being present.

Client Communication: Voxer & Telegram

Depending on whether I’m working with a 1:1 client or working with a group, I will alternate between Voxer and Telegram. I love Voxer for 1:1 client communication. Voxer is where I provide most coaching for my 1:1 clients. It’s such a fun app to use because it’s like using a walkie talkie. Telegram is a better option for group coaching because it provides a better user experience. With Telegram, if you miss any messages, the messages will leave off from where you last read a message.

Podia

Podia is a great platform for housing and selling digital products, such as courses. What I love about Podia is that it provides an interactive experience in which students can leave comments, and you can respond. I also love that it integrates with two of my other small business tools: Stripe and ConvertKit. It’s easy to use and set up your digital products on.

Stripe

Stripe is my preferred payment processor. Compared to most, it has lower processing fees and, unlike PayPal, they aren’t quick to side with the customer in a dispute. I’ve been with Stripe for almost 3 years, and I have never had an issue with it. I also like that it integrates with Dubsado, ConvertKit, and Podia, which helps with simplifying the backend of my business.

Small Business Tools for Marketing & Content Creation

ConvertKit (14-Day Free Trial)

When it comes to email service providers for email marketing, ConvertKit will forever be my #1 choice. ConvertKit was made for business owners. They have so many features, including sequences, segmentation, the ability to sell digital products and coaching sessions, landing pages, and so much more. I also love that this platform offers customization options to make your emails more on brand.

ShowIt (30-Day Free Trial)

I’ve tried just about every website builder, and ShowIt is by far the best and easiest to use. There is no coding involved and it supports you with integrating SEO throughout your website. It also integrates with WordPress for the blog portion of the website. Also, it is cost-effective compared to most other website builders.

Trello

My favorite project management tool is Trello. Trello makes the most sense for how my brain works, and it helps me stay organized when planning and creating content. I love the look and layout of Trello and how easy it is to use.

Captivate.fm (7-Day Free Trial)

If you have a podcast for your business or plan to start a podcast for your business, I highly recommend Captivate.fm for podcast hosting. Captivate was created for entrepreneurs who are monetizing their podcasts. This podcast hosting platform has so many great features, such as attribution links, dynamic ads, and more. They also frequently host free trainings and have excellent customer support.

I also use Dubsado for my podcast guest management. I’ve been told repeatedly by guests that my guest management onboarding is by far the best they have seen. The best part is that it is all automated. It keeps everything organized and ensures that my guests know what is expected of them. I’m also able to collect all of the information I need for producing the guest interview.
